Terms and Conditions & Guidelines for Bike Ride and Camping Trip
By participating in this event, you agree to the following terms and conditions. It is important to read these carefully before registration, as they are binding upon confirmation of your participation.
1. General Guidelines
- 1.1 All participants must adhere to the safety protocols and follow the instructions of the organizers at all times.
- 1.2 The event is recreational, and participation is voluntary. Each participant assumes full responsibility for their personal safety and belongings.
2. Eligibility
- 2.1 Participants must possess a valid driving license (if riding a bike) and ensure that their vehicle is roadworthy.
- 2.2 Participants must be physically and mentally capable of handling the physical demands of the ride and camping activities.
- 2.3 It is the responsibility of the participants to know how to properly and safely ride a bike. Organizers will not be held responsible for any incidents arising due to a participant's inability to ride or handle their bike.
- 2.4 It is mandatory for all the participants to wear a helmet complying with latest safety standards.
3. Responsibility and Liability
- 3.1 Organizers are facilitators of the event and are not responsible for any accidents, injuries, damages, or losses incurred during the event.
- 3.2 Participants are solely responsible for their actions, including but not limited to riding behavior, personal decisions, and adherence to traffic laws.
- 3.3 If any incident occurs due to a participant's own mistake, negligence, or recklessness, the organizers cannot be held responsible in any manner.
- 3.4 Participants are advised to arrange personal accident insurance and ensure adequate coverage for themselves and their vehicles.
- 3.5 Each participant will be fully responsible for any fees or costs incurred or arising from an accident either involving or caused by the rider. If the situation arises that the participant is not capable of making the decision to call the emergency services, the rider agrees that a member from the organizers team or a member of the public may call for them. In this situation, the participant still accepts the costs and consequences of such actions.
4. First Aid and Emergencies
- 4.1 A first aid kit will be available during the event for minor injuries or medical emergencies.
5. Equipment and Preparation
- 5.1 Each participant must carry their own safety gear (helmet, gloves, riding jackets, etc.) and camping essentials (sleeping bags, tents, etc.) unless otherwise specified.
- 5.2 Participants are required to ensure their bikes are serviced and in good condition before the event.
6. Management Decisions
- 6.1 All decisions made by the organizers regarding route, schedule, safety measures, or other event-related matters are final and binding.
- 6.2 The organizers reserve the right to modify the itinerary, suspend, or terminate the event at their discretion for safety or logistical reasons.
7. Behavioral Conduct
- 7.1 Participants are expected to maintain decorum and respect fellow participants, organizers, and local communities.
- 7.2 Any misconduct, including but not limited to reckless driving, substance abuse, or disruptive behavior, may lead to immediate expulsion from the event without a refund.
8. Environmental Responsibility
- 8.1 Participants must practice eco-friendly behavior, including not littering, damaging flora and fauna, or causing pollution during the event.
- 8.2 Camp grounds and other areas used during the trip should be left clean and intact.
9. Refunds and Cancellations
- 9.1 In case of participant cancellation, the refund policy specified at the time of registration will apply.
- 9.2 The organizers reserve the right to cancel the event due to unforeseen circumstances. In such cases, a partial or full refund may be considered at the organizers discretion.
10. Medical Emergencies
- 10.1 Participants must disclose any pre-existing medical conditions to the organizers before the event.
- 10.2 Organizers will assist in case of emergencies but are not liable for medical treatment or costs incurred.
11. Acknowledgment
By registering for the event, you acknowledge that:
- You have read and fully understand the above mentioned terms and conditions.
- You accept full responsibility for your actions and decisions during the event.
